You sign up for a new service and now you’ve got these new toys to set up and get working. The last thing you want to do is worry about when your contract is going to expire. Just take a few seconds to enter the information into Spiceworks and forget about it, until it’s time to renew.
Simply go to https://apps.spiceworks.com/tools/contracts/
If you don’t have a Spiceworks Account yet, it’ll help you get registred and then access to the Contracts system.
Setting up Contracts
To get started with Contracts, all you need is a Spiceworks account. Once you’re logged in, just navigate to https://apps.spiceworks.com/tools/contracts, or you can use the Tools & Apps menu at the top of any Spiceworks Community page.
Just click the Add a new contract button. Fill in a name for the contract, the vendor, and the service (these fields are required). You can then choose to enter any of the remaining fields and click Save. Annnnnnnnd you’re done.
Adding additional admins
You can invite others to your Vendor Contracts, just be aware that they will have admin access, and will be able to add new contracts as well as delete or edit existing contract entries. To do so, just click the add user icon and enter their email address. If they do not already have a Spiceworks account, they’ll be prompted to create one so that they can access your Contracts.
I invited someone, but they can’t access it
The most likely culprit here would be that they’ve already set up a Contracts service on their Spiceworks account. Each Spiceworks account can only be associated with a single Contracts service. To remedy this, they’ll need to have their Contracts service deleted. They should contact email@example.com to take care of this.
Can I revoke somebody’s access to my Contracts?
Absolutely. If Steve’s been messing with stuff that he shouldn’t, he’s got to go. Just click the add user icon again, find Steve’s email address in the list, and click the X next to it.
You can get all the raw data to run your own reports by exporting your contracts. Just click the Export button. This will create a CSV file with all the data. If you want to drill down to specific fields, you can use the search bar to filter your results, then use the Export button. Exporting the data will only give you the contracts currently visible in the table.
If you’ve entered an end date with your contract, you can also choose how far before that date you want to be notified. Spiceworks will send you an email to remind you of the upcoming expiration so that you have time to renew or prepare for the end of the service.
